RDS CALs for Contractors and External Accountants

External accountants, software consultants and temporary staff may use RDP less frequently than employees, but their access still needs identity, security and licensing treatment. The occasional nature of a login does not make it invisible.

Microsoft documents RDS CALs as either Per User or Per Device and requires an activated licence server for RDS Session Host deployments after the applicable grace period. Always confirm current terms for your agreement and deployment with Microsoft or your licensing provider.

Use named accounts with expiry

Create an individual identity, sponsor, approved purpose and end date. Avoid a permanent contractor account shared by several people. Restrict the session to the applications and data required.

Include external users in the CAL model

For Per User environments, authorised external people must be considered in the licensed population. Under Per Device, account for every endpoint used. Hosted provider models should state how temporary subscribers are added and removed.

Coordinate application rights

The RDS CAL covers Remote Desktop Services access, not every application inside the session. Confirm accounting, Office, SQL and third-party software rights for external use separately.

Watch for thisDo not keep one vendor login for years because it is rarely used. Dormant privileged access is difficult to attribute and easy to forget during offboarding.
