Microsoft RDS Licensing Basics for IT Managers

The Session Host, licence server, CAL mode, grace period and version checks in one practical overview.

Microsoft RDS Licensing Basics for IT Managers

RDS licensing has a technical side and a commercial side. The technical components issue and track access; the commercial entitlement grants the right to use the service. An IT manager needs both views in the same deployment record.

Microsoft documents RDS CALs as either Per User or Per Device and requires an activated licence server for RDS Session Host deployments after the applicable grace period. Always confirm current terms for your agreement and deployment with Microsoft or your licensing provider.

Know the main components

The RD Session Host runs user sessions. The RD Licensing role activates a licence server and installs CAL packs. Deployment or Group Policy settings tell Session Hosts which licensing mode and server to use.

Choose a mode and quantity

Per User follows people across devices; Per Device follows endpoints across people. Microsoft documents Per Device as required for workgroup Session Hosts. Quantity follows the authorised users or devices, not just simultaneous sessions.

Plan beyond the grace period

Microsoft documents a 120-day licensing grace period for a new RDS deployment. Use it to configure and validate licensing, not as an ongoing operating model. Monitor RD Licensing Diagnoser and resolve warnings before the deadline.

A practical checklist

Watch for thisDo not use the two remote administrative sessions as a substitute for a licensed multi-user application service. Administration and end-user RDS are different purposes.

The practical conclusion

A complete RDS licensing design fits on one page: host version, licensing server, mode, quantity, entitlement source and owner. Keep that page current.
